Answer stock and restock questions without guessing dates

Distinguish a catalog entry, a stock observation and a confirmed replenishment plan when a customer asks about availability.

Identify the source and its freshness

A product page can remain published while stock is unavailable. Check the exact variant and the latest authorized inventory source if your workflow provides one. State when availability was checked where that context matters. If the helpdesk has only general product knowledge, route the stock question to the responsible team rather than converting a catalog description into a stock claim.

Offer alternatives without inventing equivalence

A restock estimate needs a verified owner and date. When it is unknown, say so and explain the available notification process only if one exists. Alternative products should be described by confirmed attributes; do not claim an equivalent size, compatibility or performance just to keep the conversation moving. The customer may prefer to wait rather than accept a poorly matched alternative.

Fictional worked example

Fictional case: the catalog includes a black model, but no current inventory result is available. A useful reply says availability needs checking and asks whether the customer wants the team to review that exact variant. It should not promise 'back next week' or automatically enroll the customer in notifications that the workflow does not support.

  2. Separate catalog presence from verified stock.
  3. Only quote a restock estimate from an accountable source.
  4. Describe alternatives and notification options within their actual limits.
