Establish which expectation was missed
Compare the original promise with the latest verified status and the date the customer contacted you. A missed dispatch target differs from a parcel already with the carrier. Use the relevant working-day definition and timezone. Avoid assigning blame to weather, customs or the carrier unless an authoritative update supports that explanation.
Promise a review action, not an invented arrival
When the arrival date is unknown, explain who is checking and when the next update will be provided, based on actual staffing. If an estimate exists, label it as an estimate with its source and timestamp. Keep any remedy or exception subject to the authorized process; an apology does not grant the assistant authority to issue compensation.
Fictional worked example
Fictional update: 'The dispatch window in your confirmation has passed. We do not yet have a verified carrier acceptance event. Our shipping team is checking the handover and will update you within the review window we agreed.' Replace that window with a real commitment before sending. This avoids pretending a parcel is moving or promising delivery tomorrow without evidence.
